Using Zoom has become an essential part of running a successful business. Zoom enables companies to host meetings with multiple participants from various locations virtually. Zoom has over 300 million daily meeting participants. It has become a tool used by businesses both big and small alike.
While Zoom is one of the most utilized meeting platforms globally, it doesnβt come without risks. There are risks such as Zoom-bombing, where attendees who were not invited to the meeting break in and cause disruption, and potential vulnerabilities in security that may lead to data leaks. In order to use Zoom as securely as possible, follow these 5 tips below.
Require a Meeting Host and Co-Host
Requiring a meeting host gives one person the ability to change security settings. If the host cannot attend or needs to step out, the co-host will be able to take over and keep the meeting in check. This will ensure that participant management, room security, and screen-sharing capabilities remain intact even if the unexpected occurs.
Password Protect Meetings
Always password-protect business meetings. This will aid in keeping unwanted guests from entering your room and disrupting your meeting. You can apply this feature to your personal meeting ID ensuring that the passcode will be sent out to all scheduled meetings.
Waiting Room
Enabling the waiting room feature is another way to ensure only those invited to the meeting can attend. The host will be notified when a guest is in the waiting room and given the option to remove or admit the guest. Itβs a good idea to keep this on as a default setting before your meeting, but if you forget, Zoom has now enabled the ability to turn this setting on mid-meeting.
Lock Meetings
Once all your guests have arrived, lock the meeting to keep out any unwanted guests or data thieves. Simply access the security menu and check βlock meetingβ along with any other features you would like to enable.
Expel Participants if Necessary
If you feel someone is not following safe practices in the meeting, screen recording, or behaving in a disruptive manner, expelling them from the meeting is a simple and effective way to secure the meeting. Click Participants at the bottom of the screen and select More next to the name of the participant you wish to expel. Next, click remove. The participant you have removed will not be able to join the meeting again.
